Check the release windows first
On our busiest days, smaller bookings are held back so exclusive-hire areas aren't taken by a group that could have gone 37+. Check this before promising a date for anything under 37 guests — the enquiry's headcount, day of week, and how far out the date is all matter here.

If it comes to you directly
Most 2–16 bookings go straight through without ever reaching you — when one does land with you, the goal is the best possible visit for them, not just a booking on the diary.
Priority order

2. Educate — briefly, tailored to what they said
"We've got Tech Darts, Pool, Tech Shuffleboard and Air Hockey, plus a karaoke room if you fancy it. You'll be missing an opportunity if you don't book a table for food before/after your games."
3. Recommend, by group size
2–8 guests
"Most groups your size like to pair two games back to back — say darts then pool."
9–16 guests
"For a group your size, our Three Game Bundle is the one to go for — shuffleboard, pool and air hockey all together in your own space. If you fancy following it with karaoke, that works brilliantly back to back too."
4. Table for food and drink — treat as standard, not optional
"I'll pop a table on either side of your session too — our sharers menu is a real crowd-pleaser, think chopped cheese beef sliders and corndogs. Want that before or after?"
Worth mentioning it's best to arrive around 30 minutes early too.
5. Get it booked — depends how they reached you
Phone, email, the enquiry form, or stuck online
Check availability for what you've recommended, then get them booking it online — offer to guide them through it there and then (talk them through it on the call, or send clear step-by-step instructions) so it actually gets done. If they'd rather do it themselves, let them know to call or email back straight away if anything trips them up.
In person, at the venue
Check availability, then build the booking directly into Collins there and then.
⚑Payment secures it. Send a payment link — the booking isn't confirmed until it's paid. Unpaid by the next morning, the slot releases back. Tell the guest that deadline clearly so they don't lose it without realising. -

"Each of our 2 pens hold 37–60 guests. Each 'pen' is an exclusive area that has all of our games — Tech Darts, Tech Shuffleboard, Pool and Air Hockey. All food and drink is served in your exclusive pen, so you can make yourselves at home without being moved around the venue. You can add on a karaoke room for more fun and games. We'll find the best fit for your group size. There's a fixed private hire fee that includes use of all the games, plus food and drink packages to make up the rest of your budget. Minimum spends apply and vary seasonally and depending on the day of the week."

If these start times don't work for them, you can accommodate their alternative start time. The test is whether it's unlikely to block another booking (e.g. if it's an otherwise quiet day, or close to the date).
⚑Off-grid time crossing 5pm? Always quote the Evening rate. A custom 15:30–18:30 booking, for example, should be quoted at the Evening minimum spend, not Afternoon. -

Food and Drink Packages
"For your group, we'd put you in [area name] — that's completely private to you for the [3/5/6] hours, and it's free-flow use of every game in there, all in the one room."
Food
Offer to sell a food package first — it's a fixed per-head decision, so settle it early. Briefly outline the two options, leading with sharers over bar snacks: "Our full sharers menu is a real crowd-pleaser — think chopped cheese beef sliders and corndogs — that's £25 a head. Or bar snacks like beer sticks, bratwurst and flatbread with labneh dip come in at £12."
Drink
Offer a signature welcome cocktail, and recommend that they preorder one further drink — ideally premium bottles of wine: "For arrival, we can do three of our signature welcome cocktails, freshly poured as your guests arrive. And it's worth preordering one further round now too — a bottle or two of something like the Malbec or the Taittinger goes down well and makes sure it's ready and waiting."

These sit outside the minimum spend entirely — pitch them as "as well as", never as a way to close the gap.

A popular add for bigger groups — raise it once the core offer is agreed.

Worth mentioning for evening slots especially.

An easy extra for groups who want more than the room's standard games.
Decoration & bespoke requests
Birthdays, work socials — ask what they have in mind.
"Beyond the room and the food and drink, a lot of groups also add a photo booth or a DJ for the night — want me to check pricing and availability for either?"
⚑Karaoke isn't normally added to an existing Pen-only booking — the standard route is choosing an area that includes it, or upgrading. Management can add it at their discretion if it won't clash with another booking. -
Minimum spend strategy
As covered at the top of this section, minimum spend is a guide price, not the budget. Only the activity fee and food/drink count toward it, including drinks via a token. The strategy is simple: tell the guest about everything they get, put a price to it, and only lay out the small print when transparency requires it.
- If it's already clear the minimum spend will be reached, there's no reason to mention it at all — the budget is whatever the guest says their budget is.
- If they don't mention a budget, tell them the total cost of what they can pre-order: the private hire/activity fee, the food package, a welcome drink, and any other pre-ordered drink.
- If that total is still short of the minimum spend, ask what their budget is for an open bar.
- If it's still short of the minimum spend, that's when you remind them there's a minimum spend requirement.
